Summary
Performs administrative duties for the Health & Fitness department of Sun City Summerlin
Community Association, Inc.
Description of Duties
• Answer phones/direct calls/maintain phone logs. Assist residents with any fitness issues or
refer to correct department
• Assist with submitting maintenance work orders
• Maintain and distribute weekly Fitness Equipment Maintenance Report
• Prepare and communicate informational emails to all department employees
• Conduct orientation for new Fitness Monitors on administrative procedures
• Assist with daily Fitness Monitor issues
• Create and update forms
• Monitor and distribute needed supplies
• Order office supplies
• Assist with ordering fitness equipment parts, materials, and supplies for the department
• Assist with special event coordination
• Process invoices for department director’s signature
• Prepare purchase orders and check requests
• Process incoming and outgoing mail
• Maintain computer files
• Maintain employee time sheets/payroll and distribute paychecks
• Maintain pool and fitness center inspection reports
• Maintain vendor lists and vendor contact information
• Maintain Safety Data Sheets (SDS) binders for department
• Assist with preparing and processing of POs and RFPs
• Responsible for preparing Fitness Committee agenda, transcribing minutes, and
distributing/posting to members
• Assist in department operational and capital budget preparation
• Assist Fitness Department Manager as needed and with other duties as assigned

Essential Knowledge, Skills & Abilities
• Proficiency in computer/internet use and Microsoft Office Suite including MS Windows,
Word, Excel, Outlook, PowerPoint, Publisher and Adobe Acrobat, Paylocity and Jonas
• Working knowledge of SCSCAI policies and procedures relating to the Fitness Centers
• Ability to apply safe work practices
• Skilled in proper telephone etiquette
• Detail oriented with good organizational skills
• Excellent customer service skills
• Effective and courteous communication skills
• Ability to follow oral and written instructions
• Meeting Minutes and Transcribing skills
• Working knowledge of the Health & Fitness departments
Minimum Qualifications
• High School Diploma/GED
• Minimum 5 yrs. experience in an office environment
• Valid driver’s license and transportation within the community with unreimbursed use of
own vehicle
• Familiarity with Fitness Center environment
Physical demands and work environment
• Physical demands: Walking, sitting, bending and standing for prolonged periods. Lifting
up to 25 lbs. Sufficient strength and stamina to ensure a productive environment within an
office setting.
• Work environment: Risks and discomforts typical of an office and fitness center
environment, including exposure to hot and cold temperatures, moderate noise levels and
wet conditions. Requires performing job functions in compliance with all SCSCAI policies
including all safety policies and procedures.
